How to access the Z Staffing web portal

You can log into the Z Staffing web portal using the same login details you use to log into the Z Staffing app. 

The web portal is accessible from:
app.zrecruitment.com.au

 

 

Creating a new shift

  1. Navigate to the home screen, or go to "Centre Shifts" section by tapping on the clipboard icon Screenshot 2024-02-14 at 13.36.45 in the left-hand menu. 
  2. Tap on the "create shift" button at the top of the screen
  3. In the popup, select the certification level you require for the shift
  4. Enter the date, start time and end time
  5. Adding a bonus is a proven way to attract educators, make your shift stand out and increase your chances of filling your shift.

Creating a new shift with the calendar

From the calendar on the home screen you can create a new shift very easily by clicking and dragging the time you need for the shift. 

The shift creation popup will appear where you can finalise your shift details and post the shift.

Creating multiple shifts at once

  1. Navigate to the home screen, or go to "Centre Shifts" section by tapping on the clipboard icon Screenshot 2024-02-14 at 13.36.45 in the left-hand menu. 
  2. Tap on the "bulk create shifts" button at the top of the screen
  3. Select the date, start time, end time, certification level, bonus amount for your first shift
  4. Add the shift to the list when you are happy with the details. 
  5. Follow steps 1-4 to add more shifts to the list 
  6. Once you are happy with all the shifts added you can post all the shifts to the market by clicking on the "Bulk create button at the bottom right of the screen. 
  7. You will be asked to re-confirm the shifts before they are posted. 

You can edit or remove any of the shifts in the list before you post them. 

Pro tip!

As a user across multiple centers, you can now select the center of your choice for creating a shift. This means that you can post multiple shifts across all the centers you manage all from a single screen.!

Viewing the list of shifts

  1. Tap on the clipboard icon Screenshot 2024-02-14 at 13.36.45 in the left-hand menu to access the list of shifts. 
  2. This is a list of all the shifts and you can filter them using the options at the top of the screen. 

    You can:
    1. Select to view shifts for a specific educator
    2. View shifts by their status
    3. modify the date range to display only the shifts that fall within the specified date range.

Viewing shift details

From the shift list, you can click into any of the shifts in the list to view the details of the shift. 


From this screen, you can modify any details for any open shifts, and when an educator has accepted your shift, you can view their timesheet activity in the timeline, download their documents and also initiate a chat with the educator.

Disputes

From the home screen, you can see if there are any timesheet disputes from the quick access menu. These are shifts where the educator hasn't agreed with your proposed timesheet times, and the shift has entered a disputed state for the Z Admin team to review. 

Click onto "Disputes" to see the shifts that are currently disputed.

Managing proposed times for shifts by educators

Educators have the option to propose preferred shift times. You can either accept or decline these time proposals and this quick guide outlines the various options for managing these proposals.

From the quick access menu on the home screen, tap onto the "Proposed shifts to review" option to view the educators time proposal for your shift. 

You can approve or deny the time proposal from this screen.

Just so you know:

Another educator can still accept your original shift times even with time proposals from other educators. 

Reviewing educators

Once an educator completes your shift, you can leave them a review. The educator has the review score added to their star rating and any feedback submitted is only shared with the Z team.

From the quick access menu on the home screen, tap onto the "Educators to review" option to view a list of educators available to review.

Tap an educators name from this list to submit a review.

If you rate an educator with 3 stars or less, we will ask you to provide further ratings on their communication, professionalism, presentation, timeliness, and interaction with the children. 

You will also have an opportunity to enter some text if you would like to provide more context or information.

 

Timesheets that need your attention

From the quick access menu on the home screen, tap onto the "Timesheets to be Reviewed" option to view a list of shifts available to review. 

This is typically for shifts where the educator has forgotten check in and check out of their shifts. 

Simply enter the educators correct timesheet information to complete the timesheet.

Adding users to your team

  1. Click the centre options icon at the bottom of the left hand menu
  2. Click on "Centre users"
  3. From this screen you can:
    1. Add a new user
    2. Delete an existing user (if they are the same access level as you or lower)

Pro tip:

Users are not allowed to remove members who belong to the same access level as them. However, they can remove members who belong to access levels lower than theirs.

Chat

There are two ways to find the chats between you and educators on the web portal. 

  1. Tap on the chat icon in the left hand menu.
    This will open the chat screen where you will see a list of all your open shift chats between you and the educator. When an educator accepts a shift, you will be connected directly to them through the shift chat.

    This will enable you to communicate with them directly for any questions or updates you might have. You may need to ask them specific questions, provide them with information on how to prepare for the shift, clarify any details or they might do the same with you.

  2. Find the shift from the shift list 
    by tapping on the Screenshot 2024-02-14 at 13.36.45 icon on the left hand menu you will see a list of all the shifts for your centre. Find the shift you would like to engage in chat with the educator and tap on the "Chat messages" button in the bottom left corner of the Shift Information box.

Note: 

The shift chat, or chatting with the educator is only available whilst the shift is still active. Once the shift is completed the shift chat will be closed. 

Dashboard

The Z Dashboard is a detailed report of how your centres have been using Z. 

We're here to provide you with everything you need to make effective decisions from real time data to comprehensive reports. 

With the centre dashboard, centre managers like you can access a powerful set of tools to plan monitor and make the most of your resources. 

Now you can effortlessly oversee single or multiple centres, and spot trends that matter most to you. 

With this dashboard you will have access to all the centres that you are set as a user on. 

With the dropdown options at the top of the screen you can easily filter the dashboard to see the information you want to see. 

  • Change the date range for the dashboard
  • If your centres span multiple states, you can filter by state
  • Or select individual centres from the list.

Switching to another centre

  1. Click the centre options icon at the bottom of the left hand menu
  2. Click on "Switch Centre"

  3. From the dropdown menu, you can select the centre you would like to switch to from the dropdown list. Once you select the centre it will become the active centre you are managing from the Z web portal.
