Disputing timesheets

For every shift, educators will do their best to submit their timesheets. If you disagree with a timesheet, you can submit an amendment.

Educators are responsible for submitting their timesheets for every shift they work. They are expected to make an effort to ensure that their timesheets are accurate and submitted in a timely manner. However, if you happen to disagree with a timesheet for any reason, you have the option to submit an amendment.

To settle these discrepancies, we have a two-stage dispute resolution process that will help us arrive at a final outcome.

Resolving the timesheet between you and the educator first. 

You will receive a notification when a shift is done and timesheet is submitted. Completed shifts can be found in the "Done" section under the "Shifts"tab.

To dispute a timesheet, simply tap on the "dispute" button at the bottom of the shift page.

On the dispute screen, you will see the educator's reported check-in and check-out times and you will be able to suggest the times you believe the educator actually worked.

After you have disputed the shift, your proposed times will be sent to the educator. They will then receive a notification to review your suggested times. The educator will be able to either accept or decline your proposed times from there.

 

If the educator declined your suggested times, the shift will enter a "Disputed" status and the Z Admin team will be prompted to review the timesheet with you and the educator. See more on this below.

 

Please note:

You can only dispute times for shifts that have not been invoiced yet. Invoices are generated once per week on Saturday morning for all shifts. If a shift has a check-in and check-out time and is not currently disputed, it will be auto-approved for invoicing. 

We do this because we run payroll for Educators every two weeks, and we need to pay them for the work they have completed. 

 

Shift enters dispute for Z Admin to resolve.

If the educator does not agree with the time suggested by the centre, the shift will be marked as disputed and sent to the Z Admin team for resolution. You can find your disputed shift in the "Shifts" tab with a red marker until the timesheet is resolved. After resolution, you will receive a notification and the shift will be marked as completed and enter the next invoicing run.
